Summary

Office / Facilities Assistant

Location; Bristol, Aztec West - working from office full time

Pay Rate; £13.52 per hour PAYE (weekly pay)

Contract Duration; 6 months contract, with possibility for extension

Acting as an agency on behalf of our client, we are seeking an Office/Facilities Assistant who will ensure the smooth running of the Engineering Design Office, support general administrative tasks and act as the liaison with the building facilities team.

Main Activities

  • Process Travel Requests: Handle and coordinate all travel request approvals and arrangements.
  • Manage Security Badge Processing: Oversee the issuance and renewal of security badges for employees and visitors.
  • Attendance Data Collection: Gather and compile attendance records for management reporting.
  • Mail Handling: Collect, sort, and distribute incoming and outgoing mail.
  • Kitchen Supplies Management: Ensure daily replenishment and ordering of kitchen supplies to maintain adequate stock levels.
  • Facilities Oversight: Monitor and address general facility maintenance needs, including handling ad hoc issues as they arise.
  • Meeting Room Preparation: Set up and prepare meeting rooms as needed for scheduled events and meetings.

Qualifications and Experience

  • A strong Administrator
  • Organised with a keen attention to detail
  • A good verbal and written communicator
  • Ability to use Microsoft Office - Word, Excel, Powerpoint and Outlook required; Visio advantageous
  • Able to work under pressure and to tight deadlines
  • Able to manage conflicting priorities
  • Flexible with working hours
  • Professional and friendly and able to build relationships at all levels of an organisation
  • Self-motivated and able to work on own initiative
  • Previous facilities management experience
