Job summary

We are looking for a friendly, patient focused and efficient person or persons to join our team at Worcestershire Community Dental Service based in Redditch.

The position is for 22.5 hrs. per week working Monday Friday 12.30-5pm. There may be a requirement to cross cover other clinics across Worcestershire as and when required.

Provide general assistance to the dental team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

We use a dental system called Soel Health.

Main duties of the job

The candidate should be well-organised, have an excellent telephone manner, ability to cope under pressure, good communication skills and computer literate.

It is essential that the candidate have a caring approach, is patient and a good listener.

Job responsibilities

  • To work in accordance with written policies and protocols
  • Pulling/filing notes for clinics and update patient information as necessary
  • Photocopy/scanning as requested
  • Maintain filing systems manual and computerised
  • Complete daily/weekly and monthly banking procedures
  • Provide a reception service for patients and visitors to Worcestershire Community Dental Service
  • Making appointments at the front desk and by telephone
  • Be able to cross cover other clinics across Worcestershire as and when required
  • Administer the receipt, payment of NHS fees
  • Process appointment requests for patients via telephone and face to face
  • Send out patient appointments reminders
  • Registering and updating patient details on Dental System SOEL
  • Update data onto daily spreadsheets
  • Produce patient letters
  • Communication with other dental clinics via telephone and email
  • Answering the telephones and dealing with appointment and enquiries
  • Other Tasks
  • Ensure building security have thorough knowledge of doors/windows/alarm
  • Any other tasks allocated by dental team

  • Previous, relevant NHS experience

  • Educated to academic Level 2 (e.g. GCSE Grade A-C, NVQ2, OCR/RSA2, City and Guilds 2) in a Business Administration-related subject or Considerable recent NHS administrative experience and will be expected to undertake the relevant level 2 qualification on appointment to post
  • I understand that I will be asked to provide original certificates to verify my qualifications at point of offer
