Job summary

We are looking for a proactive and highly motivated individual to lead on developing and embedding our ITILv4 Portfolio Management and Capacity Management practices.

You will be working with all areas of ICT to gather key information about Digital Services to build the portfolio and also capacity metrics to inform strategic planning.

It is our priority to follow best practices and adopt the ITIL framework within our department and this role will be essential for advancing our capabilities further.

Main duties of the job

The primary responsibilities of the role are to take full ownership of the ICT Portfolio and Capacity Management practices.

This includes defining the practices and ensuring that they are fully embedded within all relevant aspects of the department and operating effectively.

The primary objective of the portfolio practice is to ensure that a portfolio of all digital services is accurate and presented to both end users and ICT staff in an appropriate and usable format.

The primary objective of the capacity practice is to ensure that all digital services within the portfolio have agreed capacity limits set which are measured regularly. This data and trending analysis is then presented to stakeholders to inform service strategies.

Portfolio Management

  • Maintain an accurate Service Portfolio of all services including live, pipeline and retired.
  • Monitor and optimise the ICT Service Portfolio and Service Catalogue in terms of usage, quality and availability.
  • Ensuring that services are meeting the Trusts expectations.
  • Ensure that both a Service Owner and Information Asset Owner are assigned to each service and responsibilities are clear.
  • Take a holistic view of each service and, working with other ITIL practice leads, ensure that each service has in place required elements in place such as:
    • Business Continuity plans
    • Supplier and Contract information
    • Monitoring, and event management
    • Minimum datasets and service request forms
  • Process owner and responsible for the continual improvement of the Service Portfolio.
  • Develop and maintain a Service Portfolio framework based both on the best practices (ITIL) and the needs of the Trust.
  • Ensure accurate service categorisation by converting multifaceted technical terms into clear and consistent language.
  • Present highly complex information to Service and Business owners and use well developed communication skills to explain and clarify technical issues in order to develop both short and medium-term plans for each service
  • Working with the Senior Leadership Team, understand and document the pipeline of potential new services
  • As new services are introduced either via projects or via BAU, ensure that these are accurately captured within the catalogue.

Capacity Management

  • Production and ownership of a comprehensive Monthly ICT Capacity Report and ad-hoc reporting for the Senior Leadership Team and wider Department.
  • Responsible for the creation and maintenance of a Capacity Management Information System (CMIS).
  • Utilise monitoring tools to review and forecast infrastructure demand and requirements to assist the Senior Leadership Team with planning and purchasing decisions.
  • Identify areas of weakness regarding monitoring, such as blind spots, and horizon scan for monitoring tools and metrics that should be considered for adoption.
  • Process owner and responsible for the continual improvement of the Capacity Management process.
