Join our dynamic Lochaber finance team! Seeking a proactive office support member with a focus on accounts payable. Collaborate with our finance and admin team to ensure smooth operations.

ALVANCE

Established since 1929, ALVANCE British Aluminium, part of the GFG Alliance, owns and operates the last remaining aluminium production plant (smelter) in the UK and a connected hydropower electricity generation station located on the slopes of Ben Nevis, Britain’s highest mountain. A combination or renewable energy sources makes this site one of the greenest metal production plants in the country.

Duties and Responsibilities 

  • Processing AP invoices in a timely and accurate manner.
  • Review Readsoft and ensure all invoices are processing correctly. 
  • Supplier Statement reconciliations. 
  • Assisting with daily post with other team members.
  • Arrange business trips including flights, hotels, trains, car hire, visas, insurance, etc for clients and staff.
  • Setup of business accounts for hotel bookings.
  • Control costs as with other purchases/ develop preferred suppliers.
  • Management of all accommodation and travel.
  • Interact with external clients by welcoming guests and customers by greeting them, in person or on the telephone, answering or directing enquiries.
  • Ensure facilities i.e. meeting rooms, are maintained to a high standard and provide tea/coffee/lunches as appropriate.
  • Management of all hospitality requirements and associated housekeeping tasks.
  • Support organising meetings, company events, conferences both internally and externally.
  • Organise the office functions and maintain supplies, to ensure efficient running of the office.
  • Answering phone calls and assisting with supplier queries.
  • Assist other team members as required.
  • Have a personal concern for the safety of themselves and others, setting a good example at all times. 
  • Administration / management of credit card.
  • Organise BACs payments.

Requirements
  • Proficiency in Microsoft Office (Excel) - essential
  • Proficiency in the Internet and web based applications - essential 
  • Proficiency in MS Dynamics or AX - desirable
  • Self-motivation with the ability to work autonomously and use initiative  
  • Ability to manage several tasks simultaneously in a coordinated and professional manner  
  • Driving licence is essential. 
  • Excellent communication, interpersonal and relationship building skills 
  • Meticulous planning and organisation skills 
  • Taking initiative and problem solving 
  • The ability to think on your feet and make decisions as required
  • Reliability, discretion, adaptability and attention to detail
  • Confident using a range of communication channels

Typical Core hours of work are Monday to Thursday 8.30am to 4.30pm and Friday 8.30am to 4.00pm. The company does offer variety of work schedules to allow earlier starting times and later finishing times to allow an earlier finish in a Friday.
