Job responsibilities
Crisis Support Drop-In Services are friendly and supportive non-clinical crisis services for adults who self-define as needing immediate help with their mental health or emotional wellbeing. Located in Buxton, Ripley and Swadlincote, the services offer out-of-hours mental health help, support and signposting in a relaxed and comfortable community environment.
The Local Coordinator role is responsible for coordinating all aspects of the Crisis Support Drop-In Service. This will include, for example, general service administration, the line management of the Support Workers, supervising and supporting the volunteer team, coordinating the staff and volunteer rotas, ensuring all shifts have sufficient staff cover, leading staff one-to-ones and team meetings, ensuring stock levels are maintained, ensuring furnishings and equipment are clean and well maintained, collating and reporting on activity and data and outcomes, reviewing / processing staff hours and team member expenses, responding to local enquiries,management of email services, liaising with the Crisis Support Drop-In Service Lead, so that the service can deliver on its objectives.
The key responsibilities of the Local Coordinator are to :-
1.Work with Derbyshire Mind, the local team of Support Worker staff and volunteers, with local people with lived experience, to play a key part in the development and delivery of a quality crisis support service.
2.Line-manage the Support Workers including for example conducting line management meetings, authorising annual leave, conducting annual Individual Performance Review (IPR), provide emotional and wellbeing support to staff, carry out any performance management required, and so on.
3.Provide support and supervision to the Volunteers, including for example, providing their necessary local training, understanding and supporting their goals, providing 1:1 and team support, providing emotional and wellbeing support.
4.Create, coordinate, and communicate the staff and volunteer rotas on an ongoing basis at least 6 weeks in advance, ensuring any gaps caused by planned leave or other short-falls are covered. Respond to rota gaps, caused by unplanned leave such as sickness, swiftly and effectively to ensure cover is found and the service is unaffected.
5.Step in and provide short-term cover for the service shift(s) if no Support Workers are unavailable due to sickness or unplanned leave.
6.Keep an accurate log of staff hours worked against contracted and report monthly overtime and hours variation.
7.Ensure staff and volunteers attend their 6-weekly Reflective Practice Supervision sessions with our external provider, and that Derbyshire Mind is accurately invoiced accordingly.
8.Assist in the recruitment, induction and training of new Support Workers, and lead the recruitment, induction and training of local Peer Support Volunteers.
9.Provide an efficient and effective comprehensive administrative support to the team and service. Including responding to telephone, email, and written enquiries following the services standard operating procedure using a high level of initiative and responding in a confidential and sensitive way.
10.Assist in ensuring that there are effective local systems and procedures in operation and being adhered to, as agreed with the Crisis Support Drop-In Service Lead.
11.Proactively look for ways to continuously improve the service, and work with the Crisis Support Drop-In Service Lead to implement improvements.
12.To assist the Crisis Support Drop-In Service Lead in monitoring, planning budgets and expenditure, including holding responsibility for all cash handling in line with Derbyshire Minds financial policies, procedures and guidance (records, petty cash income and expenditure), and holding responsibility for all local service-related supplies, equipment, requisition and stock control.
13.To ensure through monitoring and quality checks that the service databases are up to date and all data is entered appropriately so that clients can be managed appropriately, and service reports can be run.
14.To support staff and volunteers in developing their computer and technology skills and train them in the use of applications such as Microsoft Office 365 and CharityLog, and any other systems or office equipment as required.
15.Hold responsibility for local health and safety in line with Derbyshire Minds Health and Safety policies, procedures and guidance, including for example, risk assessments, reviews, reporting, safeguarding, incidents/accidents, premises issues.
16.Coordinate and manage the reimbursement of volunteer travel and other expenses in a timely manner in line with the Volunteer Handbook.
17.Work positively as part of the local partnership(s), and the wider multi-disciplinary and multi-agency crisis alternatives teams across Derbyshire.
18.Facilitate and attend both internal and external meetings as required, representing the Crisis Support Drop-In Service, Derbyshire Mind, and any Partners, and promoting the service.
19.Play an integral role in instilling Derbyshire Minds Values through the Crisis Support Drop-In Service.
20.Hold responsibility for local awareness raising about the Crisis Support Drop-In Service so that local organisations know what is on offer and how it works.
21.Assist Derbyshire Minds Marketing and Fundraising Coordinator to develop and display effective resources, guides and marketing materials locally.
22.With support from the Crisis Support Drop-In Service Lead, organise and facilitate regular focus groups, co-production, and engagement opportunities.
23.To help ensure the service is, and remains, accessible to all individuals and groups e.g. younger adults, women with children, black and minority ethnic communities, veterans and groups who may have more difficulty in accessing mental health services.
24.To help with research, audit and evaluation as required.

You will achieve this by having strong organisational and communication skills, experience of managing a team, and a genuine passion for improving the mental health and wellbeing of residents in Swadlincote and the surrounding areas. Does this sound like you?
You will be line managed by Derbyshire Minds Crisis Services Lead who will support you to act independently with confidence by providing regular supervision meetings, clear mutually agreed objectives, and the scope for you to make the role your own, and help deliver the best service possible!
You will be flexible by location - based in the town centre where the service is delivered from, but you might also work from Derbyshire Minds HQ in Mackworth, Derby, and from home. Some travel around Derbyshire will be required as part of delivering this role. A driving license and access to a car is necessary.
