Job summary

At The Coastal Partnership, we're excited to announce an opportunity for a PA/Senior Administrator role. The duties of the post will require the Administrator to be able to undertake Personal Assistant and HR Administrative duties under the direction and supervision of the Partnership Business Manager and HR Lead within broad procedural guidelines.

Main duties of the job

In this PA/Senior Administrator role, you'll play a crucial part in providing support to both the Partnership Business Manager and Human Resources. Given the diverse nature of the responsibilities, your daily tasks will encompass a blend of essential office and administration, client liaison, and various other duties. Hence, the ideal candidate should feel confident and capable of handling any task assigned, regardless of its significance or complexity.

Key Responsibilities

  • Provide personal assistant support to the Partnership Business Manager, including minute taking, email monitoring, and scheduling meetings.
  • Monitor and respond to emails on behalf of the manager, prioritising urgent matters and delegating where appropriate.
  • Coordinate and confirm appointments, ensuring all necessary resources and materials are prepared in advance.
  • Offer HR support, including assisting with staff well-being initiatives and handling confidential matters with discretion
  • Co-ordinate Protected Learning Time sessions and organise training and education opportunities for staff across all sites.
  • Liaise with external agencies to support GP Trainees for the practice.

  • GCSE or equivalent in English and Maths
  • Good computer skills for Microsoft Office
  • Good organisation and time-management skills
  • Demonstrable commitment to professional development

Desirable

  • Experience in working in an HR environment (Desirable)
  • Experience in a Personal Assistant (PA) role (Desirable)
  • Previous experience of working within the NHS or General Practice (Preferred)
  • Demonstrable experience of using own initiative
  • Practical experience in using GP software systems Systm1 (Desirable)
