Northgate
Medical Practice are looking for Receptionist/Administrator with a friendly, helpful and
approachable manner for our busy city GP practice. You will join an established
reception team who, whilst busy, are all very friendly, helpful and committed
to offering the best service possible to our patients and colleagues.
Your role
will be to book appointments, answer queries and help patients access a range
of healthcare offered by the practice. Northgate

Main duties of the job
You will be
working as a receptionist answering the telephones and helping patients at the
front desk. You will also be undertaking administrative tasks related to
patient care. You will need excellent customer service skills and be able to
work well as part of the team and on your own. Training is provided but
previous receptionist experience in a health care setting and a genuine
interest in working in a GP practice is desirable. Knowledge of Emis Web and
Docman is desirable. Flexibility and a can do attitude are essential
The practice
has over 70 staff including GPs, Executive Management Team, Advanced Nurse
Practitioners, Advanced Clinical Pharmacist, Practice Nurses, Health Care
Assistants, Administrators and Receptionists. Staff are well supported and work
together as a practice team to offer the best health care possible to the local
practice population.
Hours: Shifts Monday to Friday between
08.00 to 20.00 plus 1 Saturday every 6 weeks.

Locally the Kent
and Medway Medical School opened in 2020. It has a particular mandate for
delivering up to a third of training in the community and we support that

JOB TITLE: RECEPTIONIST/ SWITCHBOARD OPERATOR
REPORTS TO: Reception Manager & Senior Receptionist
ACCOUNTABLE TO: Operations & HR Manager
Job Summary:
To
provide a high quality, professional reception and administrative service to
patients, doctors, colleagues, health service professionals and others.
To
work constantly with a continual focus that always puts the patient first.
To
act as the first point of contact for patients contacting the Practice, either
on the telephone or in person and to always give patients the highest possible
standard of interaction and care and to ensure that any enquiries from patients
are handled in an efficient and courteous manner.
Main
Duties and Responsibilities
- Greet all patients and visitors to the practice.
- Book in, amend and cancel patient appointments
in line with practice appointment procedures.
- Ensure the efficiency and integrity of the
appointment system is maintained.
- Ensure that patients without appointments who
need urgent consultations are booked into appropriate urgent care slots or
offered access to a GP at another location.
- Explain practice arrangements and formal
requirements to new patients and temporary patients, ensuring all
procedures are completed.
- Advice patients of relevant charges for
private services, accept payment and issue receipts as appropriate.
- Ensure reception and waiting areas are kept
neat and tidy at all times.
- Restocking information leaflets as
appropriate.
- Answering incoming telephone calls, ensuring
calls are documented if appropriate and redirected if required.
- Undertake administration tasks as allocated on
the rota.
- Dependent on shift, action start and end of
day procedures.
- Check own emails on a daily basis.
- Work safely at all times in accordance with
Legislative requirements and Practice Policy and Procedures.
Assignment of Work
- The post-holders work assignment is at all
times determined by the requirements of the Senior Receptionist, Practice
admin coordinator or Practice Management team.
- The management team will provide immediate
line-management for the post-holder, supported by the senior receptionist.
- The post holder will take instruction on a day
to day basis from the senior receptionist or admin coordinator or
delegated individual in the absence of the senior receptionist or admin
coordinator.
- The post-holder is expected to be
self-directed and self-motivated, using their own initiative to deliver
the immediate needs of the practice and support for their colleagues. This
should minimise input from the admin coordinator to ensure the day to day
running of the practice.
- The post-holders work will be formally
reviewed by annual appraisal.
